SwimSorted Trials open in November

Set up your company in 15 minutes

Eight short steps, with the exact buttons to tap. You’ll need a computer or phone for yourself, your techs’ phones, and your pool list if you have one in a spreadsheet.

Sign-ups open in November, so this is how setup will go. Until then, see the app in the demo with made-up pools.

The whole setup in 5 minutesA short video of these steps isn’t made yet. The steps below have everything.

The steps

  1. Start your company
  2. Invite your techs
  3. Approve them
  4. Bring in your pools
  5. Your products and prices
  6. Your logo for reports
  7. What techs do on day 1
  8. The office view
  1. Start your company

You · computer or phone · 2 minutes

    1. Open Start your company.
    2. Type your work email and tap Email me a code.
    3. Type the code from the email (or open the email’s link on the same device), then tap Sign in. Check your junk folder if it’s slow.
    4. Type your Company name and Your first name, then tap Start my company.

That’s it: you’re the owner. The same page is your company page from now on. Come back to it any time and sign in the same way.

  2. Invite your techs with a join code

You, then each tech · 2 minutes each

    1. On your company page, under Invite your team, tap Join code for a tech. (For someone in the office who manages the team, tap Join code for a manager.)
    2. A 6-digit code shows once. Write it down or text it to the tech straight away.

Then, on the tech’s own phone:

    1. Open the SwimSorted app (Open the app on our website) and add it to the home screen. In the app, More, then Put it on your home screen, shows how for iPhone and Android.
    2. Tap More, then Account. Type their work email, tap Email me a code, type the code, and tap Sign in.
    3. Type the Join code and Your first name, then tap Join.

Their phone now says “Waiting for your manager to approve you”.

  3. Approve them

    You · 30 seconds each

On your company page (or in the office view, under Team), each new person shows under Waiting for you to approve. Check it’s someone you know, then tap Approve.

On their phone, they tap Check now or just reopen Account. If they used SwimSorted on their own before, it asks Bring your pools across? so nothing they saved is lost.

Leaving the company one day? The owner can hand over with Make owner next to a team member.

  4. Bring in your pools from a spreadsheet

One phone in the team · 3 minutes

    1. Have your pool list as an Excel file (.xlsx) or CSV. A contacts export from Xero works as it is. No spreadsheet? The import screen has Get a template spreadsheet to fill in.
    2. In the app, tap Pools, then Bring in pools from a spreadsheet.
    3. Tap Choose a file, or copy the rows and use Or paste the rows, then Use these rows.
    4. Under Which column is which?, check each column. Only the pool name is needed. Tap Continue.
    5. Look over the preview, then tap the Import button (it says how many pools). Got it wrong? The next screen has an undo.

The pools go to everyone in your team. Hundreds of customers? The office (Pools, Bring in a customer list) takes the same file at a computer; street addresses and mobiles stay off our server there, so the driver brings the same file in on their phone for directions.

Do this on the phone of the person who drives the run. Street addresses stay on the phone that brought them in, for directions. They’re never stored on our server. Only the customer’s first name is kept, and notes aren’t brought in.

  5. Set your products and prices

Each tech’s phone, then the office view · 3 minutes

Products (on each phone): tap More, then Products you use. Make the name and strength match the label on each bottle in the van. The strength changes how much to add, so this matters. Tap Add my own for anything that isn’t listed. A product marked Check strength isn’t used for doses until its strength makes sense.

What you charge customers (in the office view): open Chemicals and charges. Under Prices, type what you charge per litre or kilo, before GST. They’re saved for the whole team. Each product shows up there once a tech has used it that month, so this is easiest after the first day. Choose Don’t charge for anything you don’t bill.

Under Each pool’s invoice, add each customer’s Name in Xero/MYOB, and a fixed monthly service amount if you charge one. At the end of the month, Download for Xero or Download for MYOB makes draft invoices for you to check.

  6. What techs do on day 1

Each tech · their normal round

    1. Open Today. The day starts at the first pool. (If it says Start my day, tap it when they start.)
    2. Under Up next, tap Start this pool.
    3. Type the readings. SwimSorted shows what to add, in order, in their own products. Tap Done: added … on each step as it goes in.
    4. Tap Save this visit (or Job done), then Text the report to the owner.
    5. At the end of the day, tap Finish my day. The hours are ready for wages.

Testing, doses, visits and hours work with no signal, and send themselves to the team when you’re back in range. Signing in, chat, the team board and customer links need signal. If a dose ever looks wrong, check the pool’s litres first. The product label always wins.

  7. The office view

    You or a manager · a computer

Open the office view on a computer. Under Office sign in, type your email, tap Email me a code, then Sign in. It’s for the owner and managers.

    • Today: “Needs you” first (customers’ requests, stock to order, visits that couldn’t be done, people to approve), then the team board. It refreshes every 30 seconds.
    • Visits: every tech’s visits, newest first. Search by pool, first name or suburb, and click one to see it, photos included.
    • Customers: what pool owners said and how they rated each visit, each linked to its visit.
    • Repairs: problems your techs spotted at the pool, and where each one is up to. You quote and bill them your own way.
    • Hours: paid time for each tech, ready for wages.
    • Chemicals and charges: your prices and the month’s Xero or MYOB file (step 5).
    • Pools: the overdue pools first, then every pool. Use Find a pool to search.
    • Team: join codes, approvals and who owns the company.
